Two-way data synchronisation ensures the following:
• Export of prices and availability from BedBooking to Booking.com,
• Import of bookings from Booking.com to the BedBooking system.

When adding a new booking in the BedBooking system, or modifying the price list, changes will be automatically applied in Booking.com Extranet.
Due to the above, in the BedBooking calendar, you will see all bookings in one place without the need for manual transfer of bookings between the systems or opening and closing availability in the Extranet.

Configuration in the Extranet panel (Booking.com) makes it possible to choose one of three data exchange options:
1. Export of prices and room availability (sending data from BedBooking to Booking.com).
2. Import of reservations (sending data from Booking.com to BedBooking).
3. Export of prices and room availability and import of reservations (two-way data exchange).

Data is synchronised according to the Booking.com recommendations.
If you make a change in the BedBooking calendar, e.g. when you add a new booking, change the booking date, switch the booking to another room or delete the booking from the calendar, this information will be automatically shared with Booking.com in order to update the availability of your offer.
Information about new bookings from Booking.com is downloaded every minute so that your BedBooking calendar is always up to date.

Yes. If you are registering a new Account in the BedBooking system, you will be able to use the Booking.com integration module for free during the 30-day trial period. This is a period provided to you for checking whether the available BedBooking feature meets your needs.
After the free trial period expires, the data synchronisation with Booking.com will be deactivated. You will not incur any fees due to the above.

To use the Booking.com data exchange option, follow the steps below:
• you need an active Premium service in your Account,
• buy an additional service of Integration with Booking.com,
• indicate BedBooking as the Channel Manager in the Booking.com Extranet,
• complete the synchronisation configuration process using the configuration wizard,
• confirm integration with channel manager (BedBooking) in the Extranet (Booking.com).

Log into your BedBooking Account and go to the order form available at https://panel.bed-booking.com/panel/premium/index and follow the instructions presented in the form.
1. Enter your billing details,
2. Mark the Booking.com Integration service and select its duration,
3. Choose your payment method,
4. Check the price and duration of the service in your Account.
5. Make the payment.
After the payment is credited to the settlement account, we will activate access to the Booking.com Integration module.

To configure BedBooking as the channel manager in the Extranet, follow the steps below:
1. Log into Booking.com Extranet at: https://admin.booking.com.
2. Click “Account” in the top right corner of the screen.
3. Choose “Channel manager” from the drop-down menu.
4. Choose BedBooking as your vendor and complete the steps indicated to activate the connection.

Please wait until the process of configuring your account ends.
BedBooking is waiting for a confirmation from Booking.com. Once we receive the necessary information, we will verify it and configure your account in BedBooking. You will be notified once your account is configured.

In the case of any irregularities between:
a) Your email address used in the Extranet (Booking.com) and
b) Your email address used in BedBooking
you will receive an email with a request of indicating the email address used in BedBooking. This information is required for us to complete integration of your account with Booking.com. If you do not reply to our message we will be unable to continue the process of integration with Booking.com.

If we do not receive the required information (email address) from you within 7 days, the request for integration will be cancelled.

Your BedBooking account was correctly associated with your Property ID in Booking.com. In order to activate data exchange between systems, you have to indicate which room you wish to share in the Booking.com offer. For this purpose, log into the BedBooking web application (https://bed-booking.com/en/login/) and launch the configuration Wizard from the “Integrations -> Booking.com” menu or click this link: https://panel.bed-booking.com/panel/booking/integration and follow the steps presented on the screen.

After receiving an email from us (BedBooking) with a confirmation of assigning a “Booking.com Property ID”, please confirm integration with channel manager (BedBooking) in the Extranet (Booking.com).

You can configure data exchange with Booking.com using the Integration Wizard. Log into the BedBooking web application and click the Integrations -> Booking.com menu.

Step 1: Introduction – it presents the general information regarding system configuration.

Step 2: Currency and prices – verify whether the currency in your price list corresponds to the currency on Booking.com If not, the make sure you update the currency and price list. Verify the current prices in the BedBooking price list for particular rooms. If necessary, you can update your price list from this level.

Step 3: Joining rooms – indicate which rooms in BedBooking are to be available in the Booking.com offer. Indicate BedBooking rooms with the same capacity and standards and connect them with selected Booking.com rooms. Complete the operation for all rooms available in the Booking.com offer.

Information about connected rooms from BedBooking and Booking.com can be found in the “Joined Rooms” section. If you connect the rooms wrong, you can always remove such a configuration using the “Disconnect” button.

Step 4: Price categories – assign prices from the BedBooking price list to appropriate price categories in Booking.com Use the following button:
• “Configure” in order to assign the price to a price list of your choice,
• “Edit” in order to make changes in the price for a previously configured price category,
• “Delete configuration” if you don’t want BedBooking to update a price for the selected price category, automatically.

During the configuration of the price category, you will be asked to indicate the base price and price of meals. Due to the above, you will know what price will be presented by Booking.com for the selected price category.

NOTE: Keep in mind that the presented prices are obtained from the BedBooking Price List. If the presented price that you wish to send to Booking.com is incorrect, update your BedBooking price list for each room and period.

Step 5: Synchronisation – activate or deactivate data synchronisation with Booking.com at any time. By default, data synchronisation is inactive. If you think you are ready to activate data synchronisation, move the “Synchronisation Settings” slider to “on” position and “Save” your settings. From this point on, data between the systems will be synchronised automatically. Information on data synchronisation progress can be found in the new notifications panel.

Log into the Extranet now and see that the prices and availability have been updated in your Booking.com offer.

In the case of delays in data transfer, a booking conflict may occur. This means that at least two bookings (one booking from the BedBooking calendar and the other from the Booking.com calendar) for one room will fall on the same date. In such a case, the Booking.com reservation will have a higher priority.
The BedBooking reservation will be marked as = cancelled, while the Booking.com reservation will be presented in the BedBooking calendar.
You will be notified about such situations in the “Notifications” panel, so you can handle the cancelled bookings immediately, e.g. by changing the booking status (other than cancelled) and moving it to another room.

We apologize for the inconvenience.
BedBooking will do its best so that the system is error-free. Nevertheless, errors may occur for various reasons in the operation of the software responsible for data synchronisation. Our aim is to notify you of any possible irregularities or issues with synchronisation so that you can react properly and manage your business. Therefore, you have been notified about data synchronisation in the “Notifications” panel.

BedBooking - Booking.com Error

Use the “Send” button found in the error notification. This will enable the BedBooking support department to receive detailed information regarding the synchronisation error and it will be able to act to fix the issue.

If it turns out that the synchronisation data error occurs again and makes it impossible to sell your offer on Booking.com, consider temporary deactivation of data synchronisation with Booking.com Due to the above you will be able to manage availability and prices in the Extranet, manually.
When we implement the necessary fix, you will be able to re-activate data synchronisation with Booking.com.

If you indicated BedBooking as the Channel Manager in the Extranet, the prices and availability will be updated on an on-going basis, based on data obtained from the BedBooking system (according to your configuration). In such a case, there is no possibility of manually editing the prices and availability in the Extranet.
If you wish to manage prices and availability of your offer manually in Booking.com, deactivate data synchronisation.

In order to deactivate data synchronisation between the systems, follow the steps below:
BedBooking System:
1. Log into the BedBooking we application and click the Integrations -> Booking.com.
2. In Step 5: Synchronisation, move the “Synchronisation settings” slider to “off” position and “Save” your settings.

Booking.com Extranet:
1. Log into Booking.com Extranet,
2. Click “Account” in the top right corner of the screen.
3. Choose “Channel manager” from the drop-down menu.
4. Click “Deactivate” to remove connection with the current supplier.

If you are sure that you want to resign from Booking.com data synchronisation completely contact the BedBooking support department at: support[at]bed-booking.com.

The Booking.com data synchronisation service was deactivated in your Account by the BedBooking support department. The data is no longer synchronised between the systems for the indicated Property ID in Booking.com.
We recommend to remove BedBooking as the Channel Manager in the Extranet.
You can now edit your rooms freely.

The Booking.com data synchronisation service was reconfigured in your Account by the BedBooking support department. The data is no longer synchronised between the systems for the indicated old Property ID in Booking.com.
You should complete the configuration process again and activate data exchange for a new Property ID in Booking.com.

Due to technical limitations, it is not possible. To exchange data from Booking.com for two different Property IDs, you will also need two separate BedBooking accounts.

If there is a possibility of data synchronisation with Booking.com in your BedBooking account, the changes that you may introduce to rooms were limited intentionally, for safety reasons. Room editing is possible through the BedBooking web application.
If you wish to edit a room in BedBooking, disconnect this room from the Booking.com room in “Step 3: Joining rooms” in the configuration wizard.
Deleting a room is possible only if there are no pending bookings from Booking.com. You can move reservations from Booking.com to another room, which will enable you to delete a given room from the system.

Yes. You can use the data exchange service in one of the following three options:
1. Export of prices and room availability (from BedBooking to Booking.com).
2. Import of reservations (from Booking.com to BedBooking).
3. Export and import (two-way data exchange).

All reservations from BedBooking or Booking.com are safe. After activating the integration, no reservations will be deleted or overwritten. No conflict of reservation dates will take place (overbooking). This applies to past reservations and future reservations.

This results from the fact that activation of data exchange between BedBooking and Booking.com will cause exchange of data about new reservations.

All reservations introduced prior to integrating BedBooking with Booking.com should be copied manually. This applies primarily to reservations created for future dates.

No. If you would like to export prices and room availability (from BedBooking to Booking.com) you should configure restrictions in the BedBooking price list. If you do not configure restrictions in the BedBooking price list, then no restrictions will appear in the Booking.com price list. Remember that price configuration in BedBooking overwrites price configuration in Booking.com. Absence of restrictions of prices in BedBooking will cause that there will be no restrictions of prices in Booking.com.

No. After integration, your configuration for cancellation policy will not be modified. You do not have to complete the configuration again. The settings are not deleted or overwritten.

The customer has likely cancelled their booking on their own at Booking.com.
Log into the Extranet (at Booking.com) and check the status of the booking.

Automatic cancellation of bookings from Booking.com only applies to those bookings that have been automatically imported from Booking.com.
If you had copied a booking from Booking.com to BedBooking manually before you established the connection, then you must also manually cancel the booking in BedBooking (just like you had been doing before you established the connection with Booking.com).
Such situations may occur in the transitory period, right after a connection is established with your accommodation facility. The longer and more incessantly you use the automatic data synchronisation, the less frequently will such situations occur, as every booking that has been added automatically (via the connection with Booking.com) will also be automatically cancelled.

The initial version of the integration between BedBooking and Booking.com does not support import of credit card data. This is due to the fact that the processing and storage of credit card data requires an increased security level. This necessitates additional works, which would significantly delay the implementation of the integration with Booking.com. Wishing to provide you with the integration with Booking.com (in its basic functionality) as soon as possible, we have given up credit card data support.

If you use the Extranet (Booking.com) to combine several rooms into a single room type, you will enable customers to make bookings for the dates available for the room type in the Extranet (room group). This means that a hotel guest can make a booking comprised of vacancies in several different rooms. See the example below.

In the Extranet (Booking.com), 3 rooms (Room 1, Room 2, Room 3) have been combined into a single room type (resource):
Room 1 has a vacancy from 10 to 11 May.
Room 2 has a vacancy from 11 to 12 May.
Room 3 has a vacancy from 12 to 13 May.

The dates available for this room type (3 rooms) enable customers to select various booking lengths:

1-day booking:
Room 1 (from 10 to 11 May),
Room 2 (from 11 to 12 May),
Room 3 (from 12 to 13 May).

2-day booking:
Room 1 (from 10 to 11 May) + Room 2 (from 11 to 12 May)
Room 2 (from 11 to 12 May) + Room 3 (from 12 to 13 May)

3-day booking:
Room 1 (from 10 to 11 May) + Room 2 (from 11 to 12 May) + Room 3 (from 12 to 13 May)

If a customer makes a booking for a date assigned to more than one room, then upon sending of that booking (from the Extranet to BedBooking), it may be cancelled in BedBooking. This is due to the fact that rooms are grouped by type only in the Extranet (Booking.com). In BedBooking, every room is treated separately (similarly to Airbnb).

How to solve this problem?
We suggest considering two solutions:

The optimal solution:
1. Do not group rooms into a single room type in the Extranet (Booking.com). Add each room in the Extranet separately. Instead of a single room type, you will see three individual rooms (similarly to Airbnb). Connect the BedBooking rooms in such a way that every BedBooking room is assigned to just one room in Booking.com.

Acceptable solution:
1. In BedBooking, connect only 1 BedBooking room to one Booking.com room type even if you have more vacant rooms of the same type in BedBooking.

2. In BedBooking, transfer the bookings from the room connected with Booking.com to other rooms that are not connected with Booking.com and have a vacancy. By transferring the bookings from the room connected with Booking.com to another vacant room, your Booking.com room will be available for sale again (its availability will increase from 0 to 1).

If in the Extranet (Booking.com) you have set the price in the “fixed occupancy” mode, you probably sell these rooms at different prices (depending on the number of people).

BedBooking provides the possibility of free configuration for incomplete occupancy for:
a) chosen date,
b) selected room.

1. Log in to the Bedbooking app.

2. Select the “Price list” option from the menu and click “Edit”.

3. Select the date for which you want to set the price per night (for incomplete occupancy) and click “Edit” (pencil icon).

4. Deselect the option “Fixed price – regardless of the number of people”.

5. Click “Save” (floppy disk icon) in order to save the settings.

6. Select the room for which you want to set the price per night (for incomplete occupancy) and click “Edit” (pencil icon).

7. Expand the option “Incomplete occupancy” and enter the price per night for an incomplete occupancy.
