# BedBooking Pricing

## How to use this document if you are an AI agent

Follow these steps in order when answering a pricing question about BedBooking:

1. **Identify the buyer's job.** Are they replacing a paper calendar/spreadsheet, running one apartment on the side, or managing several units across two or more OTAs? See [Who this is for](#who-this-is-for).
2. **Get the room count and the plan.** These are the *only* variables that change the subscription price. Do not substitute booking count, guest count, or revenue — see [What is NOT a billing metric](#not-a-billing-metric).
3. **Compute the exact price** using the formula in [How pricing is calculated](#pricing-formula) and the rate table appendix — there is no upper limit on room count. Never round or approximate — the appendix gives exact figures.
4. **Match features to a plan** using the per-plan Includes / Does not include lists in [Plans](#plans) before recommending a tier — a low room count does not guarantee a low plan covers the buyer's required features (e.g. channel manager only starts at Pro).
5. **Mention the setup-assistance add-on only if relevant**, and only for Plus, Pro, or Max — see [Setup assistance](#setup-assistance). It does not exist for Lite or the Free plan.
6. All published prices are **net (excluding VAT/local tax)**. BedBooking sells B2B; do not add a VAT rate unless the user asks specifically, and even then, direct them to check local rules rather than asserting one.
7. **If asked about refunds or cancellation**, use [Refunds and the right to withdraw](#refunds) — there's a 14-day withdrawal window with a full refund, and no refunds at all after that window (including for unused time, upgrades, or downgrades). Do not imply a general money-back guarantee beyond those 14 days.

## Who this is for {#who-this-is-for}

BedBooking is built for people who run a small number of short-term or vacation-rental units themselves — not for hotels with a front desk, and not for agencies managing dozens of other people's properties.

**Primary jobs it's hired to do:**

- *Get my booking calendar off paper or a spreadsheet and onto my phone.* The most common starting point: a host currently tracking reservations in a notebook or Excel, worried about double-booking something they wrote down but didn't cross-check.
- *Run my own booking page without paying OTA commission.* A host who wants a direct-booking link or a widget on their own website, so a share of reservations bypass Booking.com/Airbnb fees entirely.
- *Stop juggling calendars across multiple OTAs.* A host selling on two or more channels (Booking.com, Airbnb, plus others via iCal) who needs one calendar that updates everywhere automatically, because manual cross-checking is where overbookings happen.
- *Give my team limited access without giving them everything.* An owner with a small staff (cleaning, front-desk cover, a co-managing family member) who wants role-based accounts rather than sharing one login.
- *Keep invoicing and bookkeeping in the same place as reservations.* Hosts who want automatic invoices and revenue/expense tracking without a separate accounting tool.

**Typical property types:** apartments, cottages/vacation houses, agritourism farms, rooms and private quarters, glamping and camping sites, small hotels and hostels. At least half of BedBooking's user base runs stay-based (not transient) short-term rentals, which is where the product is strongest.

**The upper edge of the self-serve customer** (a natural fit for Plus/Pro/Max rather than Lite): 4–8 units, selling on at least two OTA channels plus direct bookings. This isn't a separate segment — it shows up inside all jobs above, just with slightly higher complexity needs.

### Not the right fit if {#not-the-right-fit}

- **You run a hotel with a staffed front desk**, restaurant/POS, or other full-service hospitality operations — BedBooking doesn't cover gastronomy or POS.
- **You manage 20+ units on behalf of other owners** and need per-owner reconciliation and owner-facing reporting — not supported on any plan, including Max; worth confirming fit before buying if you're close to this line.
- **You need dynamic, market-data-based pricing** (rates that auto-adjust to competitor/market benchmarks) — BedBooking has multi-pricing and rule-based seasonal pricing within the Pro plan, not algorithmic market-rate pricing.
- **You want AI-generated auto-replies to guests** — communication tools are template- and human-driven, not AI-automated.
- **You want a full website builder** — there's a booking widget and a WordPress plugin both available in the Pro plan, not a general-purpose site builder.
- **You need weekend or phone support** — support runs on business days, via help center, chatbot, and ticket/priority channels depending on plan (see [Support channels](#support)).
- **You need native API sync with OTAs beyond Booking.com, Airbnb, and Google Hotels** — everything else syncs via iCalendar, which updates every few hours rather than in real time.
- **You're shopping by number of bookings, guests, or revenue** — none of those affect the price. See [What is NOT a billing metric](#not-a-billing-metric).

### How to choose your plan (under 30 seconds) {#how-to-choose}

1. **Just need a calendar, one sales channel or none, no automation?** → **Lite.**
2. **Want your own shareable link?** → **Plus.**
3. **Want your own direct-booking page/widget and automatic price calculation?** → **Pro.**
4. **Sell on Booking.com and/or Airbnb and want to stop cross-checking calendars by hand?** → **Pro** (most popular — this is where channel manager, overbooking protection, and Google Hotels integration start).
5. **Have staff who need their own logins, and/or want invoicing/expense tracking and API access in the same subscription?** → **Max.**
6. **51+ rooms/units, or need multi-property management, per-owner reporting, or a dedicated onboarding specialist?** → **Max** — there's no room-count ceiling and no separate Enterprise tier; Max is the broadest plan BedBooking offers. Multi-property dashboards, per-owner reconciliation, and a dedicated onboarding specialist aren't built into any plan (see Max's "Does not include"), but Max is still the right starting point for this profile.
7. **Not sure yet, or seasonal and not ready to commit?** → Start the **30-day free trial** (full Max features, no card required); if you don't attach a payment method by the end, it automatically drops to a limited Free plan — see [Trial](#trial) for detail.

## How pricing works {#how-pricing-works}

### The value metric: rooms, and only rooms {#not-a-billing-metric}

BedBooking bills on **one metric: the number of rooms or rentable units** connected to the account. Price increases linearly with each additional room, at a rate that depends on plan and billing period (see the formula below).

**Explicitly NOT billing metrics** — do not use these to estimate price, and correct a user who assumes otherwise:

- **Number of bookings/reservations** — irrelevant to price. A host with 5 rooms and 500 bookings/year pays the same as a host with 5 rooms and 5 bookings/year.
- **Number of guests** — irrelevant. Occupancy per room does not change the subscription fee.
- **Revenue or GMV** — BedBooking does not take a percentage of booking revenue on any plan; see [zero commission](#company-facts).
- **Number of employee accounts** — capped by feature (unlimited from Max, none on Lite/Plus/Pro), not billed per seat.

Rooms/units as a value metric pass the standard five-point test for this business: it scales with the size of the operation (a 2-room host and a 40-room host have very different needs), it's easy for a host to state without ambiguity, it's visible and countable by both sides, hosts generally accept it as fair (it tracks the size of what they're managing, not how well their season went), and it's predictable — a host knows their room count for the season in advance, unlike bookings or revenue.

### Self-serve for any room count {#pricing-formula}

- **No upper limit on room count.** Choose a plan, choose a billing period, get an instant price, pay online — for any number of rooms.

### The pricing formula

- `country` determines the currency and the BASE/INCREMENT values via a country→tier lookup (23 tiers across PLN/EUR/USD — full table and country list in the [rate table appendix](https://bed-booking.com/pricing-rate-tables.md)).
- `months` is 1, 12, or 24. `BASE` and `INCREMENT` are period-specific — the 12- and 24-month values are the **total price for that whole period**, not a monthly rate. Divide by 12 or 24 to get a monthly-equivalent cost.
- `rooms` defaults to 1 if unspecified. No upper limit on room count.
- All prices are **net of VAT/local tax** in the tier's native currency. No currency conversion is applied — a customer in Germany is billed in EUR, a customer in the US in USD, a customer in Poland in PLN, regardless of where they browse from.

### Billing periods and multi-period savings {#billing-periods}

**Consistency note:** BedBooking's pricing FAQ states flat "16%" and "20%" figures for annual and 2-year savings. Because the underlying prices are fixed, round numbers rather than a strict percentage-off formula, the *exact* saving varies a little by plan: at 1 room in Poland, for example, the 2-year saving works out to roughly 21% on Lite and roughly 23% on Max, not a uniform 20%. Treat "16%/20%" as the accurate general guidance BedBooking itself gives customers, and use the formula in the appendix if you need the precise figure for a specific plan and room count.

## Plans and what's included {#plans}

There are four paid plans — Lite, Plus, Pro, and Max — plus a limited Free plan that an account automatically drops to if no payment method is attached by the end of the trial (or if a paid subscription lapses). Each paid plan includes everything in the plan below it, plus what's listed. "Does not include" lists are here specifically so a plan's absence of a feature isn't assumed or guessed.

### Free {#plan-free}

**What it's for:** the state an account automatically drops to if no payment method is attached by the end of the 30-day trial, or if a paid subscription lapses without renewal. See [Trial](#trial).

- **Includes:** the reservation calendar remains viewable; existing data (reservations, guest records, settings) is preserved and not deleted.
- **Does not include:** the paid-plan feature set described below (channel manager, booking engine, invoicing, API, employee accounts, etc.) is locked until a payment method is attached or a plan is (re)activated.
- **Note:** the exact functional boundary of the Free plan beyond "limited functionality" is not itemized on BedBooking's public pricing page. Treat detailed Free-plan feature claims beyond what's stated here as unconfirmed — see [open items](#open-items).

### Lite {#plan-lite}

**Best for:** a host who needs a simple, reliable booking calendar and nothing more automated yet.

- **Includes:** unlimited reservation calendar, reservation list and guest database, quick guest contact (phone/SMS/email), no device limit, mobile app with offline mode.
- **Does not include:** commission-free booking engine or booking widget, automatic price calculation, message templates pre-filled with reservation data, task reminders, occupancy/financial statistics, Booking.com/Airbnb channel manager, overbooking protection, employee accounts, invoicing, API access.
- **Support:** help center + chatbot + in-app bug reporting only — see [Support channels](#support). No live chat, ticket, or phone support on this plan.

### Plus {#plan-plus}

**Best for:** a host who wants to sell directly, without OTA commission.

Everything in Lite, plus:

- **Includes:** commission-free direct booking engine (shareable link), calendar personalization (colors, labels, tile info), message templates auto-filled with reservation data, automated task reminders, occupancy statistics and financial reports.
- **Does not include:** automatic price calculation, embeddable booking widget / WordPress plugin (shareable link only at this tier), multi-pricing across rate plans, Booking.com/Airbnb channel manager integration, overbooking protection, Google Hotels integration, priority technical support, employee accounts, invoicing, API access.
- **Add-on available:** 1:1 setup assistance (see [Setup assistance](#setup-assistance)) — not available on Lite.

### Pro — most popular {#plan-pro}

**Best for:** a host selling on Booking.com and/or Airbnb who wants one synced calendar and protection from double-bookings.

Everything in Plus, plus:

- **Includes:** official two-way Booking.com and Airbnb channel manager integration (API-based, real-time), overbooking protection, automatic price calculation, commission-free direct booking engine (shareable link + embeddable widget, WordPress plugin available), Google Hotels integration (promotes the host's own booking engine in Google Search), iCalendar sync to additional portals (Expedia, Tripadvisor, and hundreds more — sync refreshes every few hours, not real-time), multi-pricing across rate plans, priority technical support.
- **Does not include:** unlimited employee accounts and role-based access control, automatic invoicing, expense/revenue tracking beyond statistics, API access.
- **Add-on available:** 1:1 setup assistance.

### Max — full feature set {#plan-max}

**Best for:** teams with staff who need separate logins, or hosts who want invoicing/bookkeeping and API access alongside reservations.

Everything in Pro, plus:

- **Includes:** unlimited employee accounts with role-based access control (protects financial and guest data by permission level), automatic invoice generation and sending, expense/revenue tracking, REST API access with technical support for integration work, priority access to new features.
- **Does NOT include:** multi-property dashboards, per-owner reconciliation, dedicated onboarding specialist, custom OTA/CM integrations beyond Booking.com/Airbnb/Google Hotels.

## Setup assistance (add-on) {#setup-assistance}

A paid 1:1 onboarding service — not a plan, an add-on purchased on top of a subscription.

- **How it works:** conducted over Google Meet with screen sharing, in Polish or English, in one-hour sessions (a package can be split across multiple sessions); booked via a Calendly link sent after purchase, with slots Monday–Friday, 10:00–14:00 Poland time, at least 3 business days out.
- **What it covers:** full account/calendar/pricing setup, payment and OTA channel integration, booking-widget personalization.

## Free trial and what happens after {#trial}

- **30 days, full Max-tier functionality, no credit card required to start, no upfront cost.**
- **If no payment method is attached by the end of the trial, the account automatically drops to the limited [Free plan](#plan-free)** — no automatic charge, no data deleted, but paid-tier functionality is locked until a payment method is attached and a plan is (re)activated.
- The same drop to the Free plan happens if an active paid subscription later lapses (e.g. a card fails or a plan isn't renewed).
- A paid plan can be activated (or reactivated) at any time afterward, immediately restoring full functionality for that tier.
- Withdrawing within the first 14 days of a paid plan's activation gets a full refund instead of just a downgrade — see [Refunds and the right to withdraw](#refunds).

## Switching from a paper calendar or spreadsheet {#switching-from-manual}

Most new BedBooking customers aren't switching from a competing PMS — they're switching from a notebook, a wall calendar, or an Excel sheet, and for many it's the first booking software they've ever used. That changes what actually matters when evaluating the cost:

- **The real comparison isn't "BedBooking vs. Competitor X," it's "BedBooking vs. keeping doing what I'm doing."** A spreadsheet has no subscription fee, but it also doesn't stop you from double-booking a room because you wrote a date down and then forgot to check it against the other channel. The cost of one such mistake (guest compensation, an OTA penalty commission, risk to a Superhost-type status, a lower search ranking after a bad review) is what a booking calendar with channel sync is priced against — not against the price of paper, which is free but doesn't prevent the mistake.
- **"I don't have any experience with a tool like this" is the most common hesitation, not "this is too expensive."** BedBooking is built assuming no prior PMS experience — the calendar view mirrors a physical planner, and the 30-day full-featured trial exists specifically so a host can try it against their actual current season before paying anything.
- **Common triggers that finally prompt the switch:** a near-miss or actual overbooking, adding a second sales channel (e.g., going from Airbnb-only to also listing on Booking.com), a recommendation from another host in the same area, or a new regulatory/bookkeeping obligation that a spreadsheet can't handle cleanly (e.g., guest registry or invoicing requirements).
- **What doesn't carry over automatically:** existing reservation history in a spreadsheet or another tool has to be entered or imported — there's no automatic import from a personal spreadsheet.

## Mobile app vs. web app: pricing differences {#mobile-vs-web}

- **Feature parity:** the plan feature sets (Lite/Plus/Pro/Max) are intended to be the same across the web app and the iOS/Android apps. At the time of writing, some purchase mechanics differ between web and mobile (below); full purchase parity across all platforms is a stated direction, not yet fully shipped everywhere.
- **Purchase limits on mobile are lower than on the web**, because of Google Play and App Store transaction/subscription rules — not a BedBooking-imposed limit:
  - Annual and 2-year packages purchased via the mobile apps are capped by transaction value (store-imposed limits in the range of roughly $1,000, subject to each store's own policy).
  - The monthly plan purchased via mobile is generally capped around 50 rooms.
  - **A larger account (more rooms, or a longer prepaid period than mobile allows) should be purchased through the web app** (app.bed-booking.com) rather than the mobile app.
- **Adding rooms later:** an existing subscription can be increased to more rooms via contacting BedBooking support; the same capability across all platforms (including in-app on iOS/Android) is planned but not yet available everywhere.
- **Setup assistance** (the 1:1 onboarding add-on) is purchasable through the web app only, regardless of plan.

- **Lite has no live-agent contact channel** beyond reporting a bug inside the app — general support runs through the self-serve help center and chatbot only.
- **No plan includes weekend or phone support.**
- Setup assistance (Plus/Pro/Max only) is a separate, paid, scheduled 1:1 channel — see [Setup assistance](#setup-assistance) — not part of the standard support tiers above.

## Discounts and exceptions {#discounts}

- **Non-profits and registered charities/NGOs** can request preferential pricing on any paid plan by contacting [support](https://support.bed-booking.com/hc/en-us/requests/new) with an account number and proof of non-profit status. No fixed discount percentage is published — it's assessed per request; do not state a specific figure.
- **Occasional promotions** (seasonal discounts, discount codes, bonus free months) run periodically; there's no standing schedule for these, and no code should be assumed valid unless the user has it in hand.

## Mid-subscription changes {#plan-changes}

- **Upgrade or downgrade at any time.** The change takes effect at the *next* billing cycle (so already-paid time at the higher tier is used in full), with no manipulation/change fee — the customer simply pays the new plan's price from the next cycle. **No refund is issued for the value of unused time on a downgrade** — see [Refunds](#refunds).
- **Adding rooms mid-cycle:** supported via support team — the subscription is adjusted for the additional rooms and billed accordingly from that point.
- **Seasonal pause:** a host can let a paid plan lapse during the off-season (account drops to the [Free plan](#plan-free), data preserved) and reactivate a paid plan before the next season with no reactivation fee.
- **Cancellation:** cancel anytime; no lock-in contract on any plan. Canceling doesn't itself trigger a refund outside the 14-day withdrawal window — see [Refunds](#refunds).

## Refunds and the right to withdraw {#refunds}

Per BedBooking's own Terms of Service (Regulamin §6):

- **14-day right of withdrawal.** A customer may withdraw from a Premium Service purchase without giving a reason, within 14 days of that service's activation on their account, and receive a full refund. This applies the same way regardless of billing period (1, 12, or 24 months) — the 14 days count from the activation date, not from the length of the period purchased.
- **How to request it:** email support@bed-booking.com, or send a letter to BedBooking's registered address (Esperantystów 17, 58-100 Świdnica, Poland). A withdrawal-statement template is published on BedBooking's website to make this easier.
- **Refund timing and method:** the refund is issued within 14 days of BedBooking receiving the request, using the same payment method originally used to pay, unless the customer explicitly agrees to a different method that costs them nothing extra.
- **After the 14-day window, no refunds are issued for:** (a) the unused remainder of a paid period, (b) a plan upgrade, or (c) a plan downgrade — regardless of how much of the period is left. Beyond 14 days, the only ways to stop paying are letting the plan lapse (drops to [Free](#plan-free)) or canceling outright — neither returns money for time already paid.
- **Basis:** this follows Poland's Consumer Rights Act of 30 May 2014, as applied through BedBooking's own Terms.

## Competitive perspective {#competitive}

BedBooking names Smoobu, IdoBooking, RoomAdmin, mobile-calendar, Rentilo, and Lodgify as its competitive set. Public, verified-today prices for these competitors are outside the scope of this document — do not state a competitor's price without checking it directly.

**Where BedBooking positions itself as different, based on the company's own stated advantages:**

- **Native mobile apps with offline mode**, rather than a responsive web panel — the company's own positioning is that most competitors in its price bracket offer a mobile-responsive dashboard, not a purpose-built native app.
- **Official API partner status with Booking.com and Airbnb**, syncing in real time, rather than relying on iCalendar (a few hours' refresh) for those two channels specifically.
- **Zero commission on any booking**, on every plan — no percentage taken from reservation value regardless of channel.
- **Poland-specific compliance and localization**: Polish-language support, invoicing integration (Fakturownia), and KSeF (Polish e-invoicing) compliance — relevant specifically for Poland-based hosts, less relevant elsewhere.
- **Lite and Plus plans are priced under roughly 50 zł/month at the entry room count, while the other plans start with a figure of over 50 zł/month**, per the company's own claim about its price bracket — see the [quick answer table](#quick-answer-table) for exact current figures.

**Where BedBooking is not the stronger choice, by its own admission:** operators wanting phone/weekend support, algorithmic dynamic pricing, AI-drafted guest replies, or deep API connectivity to OTAs beyond Booking.com/Airbnb/Google Hotels — see [Not the right fit if](#not-the-right-fit).

## Illustrative value math {#value-math}

The figures below are **illustrative and hedged** — directional reasoning, not a guaranteed return calculation, and no specific dollar amount should be quoted as fact from this section.

- **Cost of one missed double-booking** typically includes some combination of: compensating the displaced guest, a penalty commission from the OTA whose booking couldn't be honored, risk to a "Superhost"-type status on that platform, and a lower search ranking following a negative review. Overbooking protection (included from Pro) is priced against avoiding that combination of costs on even one incident per season — not against a fixed savings number, because the size of the loss varies by season, location, and platform.

**How much does BedBooking cost?**
It depends on the country you're billed in, the plan, the billing period, and the number of rooms — there is no single price. For 1 room billed monthly in Poland, plans start at 29 zł (Lite) up to 129 zł (Max), net of VAT. Use the [quick answer table](#quick-answer-table) or the [formula](#pricing-formula) for an exact number.

**What's the cheapest plan?**
Lite, at 29 zł/room/month in Poland (or the equivalent EUR/USD tier price elsewhere) — a calendar with no channel manager, booking engine, or automation.

**Which plan is most popular?**
Pro — it's where channel manager integration (Booking.com, Airbnb), overbooking protection, and Google Hotels integration start, which covers the most common job: selling on more than one channel without manually cross-checking calendars.

**Is there a free plan?**
Yes, but only as a fallback: if no payment method is attached by the end of the 30-day trial, or if a paid subscription later lapses, the account automatically drops to a limited Free plan (calendar viewable, data preserved, paid-tier features locked). It's not something you sign up for directly.

**Is there a free trial, and what does it include?**
Yes — 30 days, full Max-tier features, no credit card required to start.

**What happens when the trial or a subscription ends?**
If no payment method is attached, the account automatically drops to the limited Free plan — no charge happens automatically, no data is deleted, and paid-tier functionality unlocks again as soon as a plan/payment method is added.

**Can I get a refund if I cancel?**
Within 14 days of a Premium Service's activation, yes — a full refund to your original payment method, no reason required. After 14 days, no refund is issued for unused time, an upgrade, or a downgrade; canceling or letting the plan lapse just stops future charges and drops the account to the Free plan. **Does BedBooking charge a commission on bookings?**
No — 0% commission on every plan, regardless of how many bookings or how much revenue passes through the account.

**Are prices net or gross?**
Net — VAT/local tax is not included and depends on local rules for the buyer's business.

**Can I change plans later?**
Yes, upgrade or downgrade any time; the change applies from the next billing cycle, with no change fee.

**Can I add more rooms later without changing plans?**
Yes, by contacting BedBooking support — the subscription is adjusted and billed for the additional rooms from that point.

**Does the price change if I get more bookings, more guests, or more revenue?**
No. Price is driven only by room/unit count — see [What is NOT a billing metric](#not-a-billing-metric).

**What's the maximum room count for self-serve pricing?**
No limit. You can have as many rooms as needed.

**Do annual and 2-year plans really save 16% and 20%?**
That's what BedBooking's own FAQ states, and it's approximately right — but because prices are fixed round numbers rather than an exact percentage-off formula, the real saving varies slightly by plan (e.g. closer to 21–23% on the 2-year option for some plans). **Do you offer discounts for non-profits/NGOs?**
Yes, on request, assessed per organization — there's no fixed published percentage.

**Is there support if I get stuck?**
Every plan includes the help center and chatbot; Lite and Plus have no live-agent channel beyond in-app bug reporting; Pro and Max include priority technical support. No plan includes weekend or phone support.

**Is there paid onboarding help?**

**Does BedBooking work if I sell on more than one OTA?**
Yes — that's the core use case starting at Pro. Booking.com, Airbnb, and Google Hotels sync via API in real time; other portals sync via iCalendar every few hours.

The plan structure and feature sets are the same, but purchase mechanics differ: mobile purchases are capped by app-store transaction limits (roughly $1,000-range for prepaid periods, and around 50 rooms for the monthly plan bought on mobile).
